Documents Overview
Create, send, track, and manage documents in Crove.
Documents
A document is a specific instance of a template, filled with real data. When someone fills a form or you create a document from a template, a new document is generated.
Document lifecycle
Every document goes through a predictable lifecycle:
Template → Create Document → Send Invitations → Recipients Fill → Signatures → Completed → PDF GeneratedStatuses
| Status | Description |
|---|---|
| Draft | Document created but not sent to anyone |
| Sent | Invitations sent to one or more recipients |
| Completed | All recipients have submitted their responses and signatures |
Documents list
The Documents page shows all documents in your workspace:
- Status badges — Visual indicators for Draft, Sent, and Completed
- Date — When the document was last updated
- Quick actions — View, download PDF, delete
- Bulk operations — Select multiple documents for batch actions
Bulk actions
Select multiple documents using the checkboxes and perform:
- Bulk delete — Delete selected documents permanently
- Bulk send — Send invitations for selected documents
- Bulk complete — Mark selected documents as complete
Document detail view
Click a document to see its full details:
- Document content — The rendered document with filled variable values
- Response data — All form field values submitted by recipients
- Activity log — Timeline of all actions (created, sent, opened, filled, signed)
- Audit trail — Compliance-ready record with timestamps, IP addresses, and signatures
- Respondents — List of recipients and their submission status
Downloading documents
PDF download
Every completed document can be downloaded as a professionally formatted PDF. Crove generates PDFs using a high-quality rendering engine with full support for custom fonts, tables, images, and page breaks.
DOCX export
Export documents as DOCX files for editing in Microsoft Word or Google Docs.
Audit trail PDF
Download a separate PDF containing the full audit trail — every action, timestamp, IP address, and signature record.
